What does an executive search firm actually do?

An executive search firm finds, assesses, and secures senior talent that companies can't easily reach themselves: usually people who aren't job-hunting. It maps the market for a role, approaches the best candidates directly and discreetly, evaluates fit, and manages the process through to a signed, retained hire.

Mapping and reaching talent

The firm identifies who holds equivalent seats across an industry, who's rising, and who fits the specific brief, then approaches them directly, often while they're happily employed. The value is access to a passive, top-decile pool that never answers a public listing.

Assessing and advising

Beyond finding people, a good firm assesses fit (track record, motivation, and how a candidate would perform in this specific context) and advises the company on the market, the shortlist, and the offer. At The Quantum Club, a dedicated strategist pairs with Club AI to score fit across a vetted network.

Managing the process

From brief to signed hire, the firm runs interviews, references, negotiation, and close. Discreetly, and fast. The Quantum Club replies to a partner brief within 24 hours and works on No Cure, No Pay, so a company pays only when a candidate it chose signs.

The search, step by step

Most senior searches follow the same sequence. A brief is agreed: the seat, its context, and what success will look like. Researchers build a talent map of who holds comparable seats, and nobody on it is contacted at that stage. The strongest names are then approached directly, often in a first conversation that describes the seat without naming the company. Those who are interested are interviewed and assessed, and a short list goes to the company, each name with a written profile of career, motivation, compensation expectations and availability. The company runs its own interviews; references are taken once a candidate is a serious contender, and a background check usually comes last. The firm then helps negotiate the offer, steers the resignation and notice period, and stays close through the start.

What a search firm does not do

It does not make the decision. The AESC, the profession's standards body, states that final selection is always made by the client, and The Quantum Club's general terms put the decision to hire wholly with the company. Nor can a firm promise that a seat will be filled: the club's terms describe an obligation of effort, not of result. And executive search is not a regulated profession. The AESC's own candidate charter calls it unregulated, which is why standards vary so widely from firm to firm, and why the questions a company asks before engaging one matter as much as the fee.

Questions to ask before you engage one

Ask whether the mandate will be exclusive. The AESC tells candidates to ask any consultant who approaches them whether they hold an exclusive assignment, and adds that a candidate who hears no may be well served to walk away, so a firm sharing your role is weaker in the very market it is meant to reach. Ask who will run the search day to day and who will make the calls. Ask how the firm reaches people who are not looking, and which comparable seats it has filled. Ask how it treats the candidates who are not chosen, since they will outnumber the one who signs and each carries an impression of your company away. Then read the terms: what the fee is calculated on, when it falls due, and what happens if a hire leaves early.

How The Quantum Club runs a search

The club starts from a standing network rather than a blank map. Club AI scores fit across 1,000+ members worldwide the moment a brief lands, and a dedicated strategist, who owns the mandate and the relationship with the principal, curates the slate. Every mandate is the club's alone, and the vast majority are never publicly listed. Every approach is confirmed with the principal first, and the club's terms commit it to approaching, screening and guiding each candidate personally, assessments included, through to onboarding. TYSON 2.0 is a published example: the brand reached out to the club to build its Amsterdam flagship team, and the club placed a Finance Director, a Head of Operations, a Marketing Manager and the specialist roles around them. That team is still in place.

Frequently asked

How is an executive search firm different from a recruitment agency?

Search firms target senior, hard-to-reach, often passive talent through direct approach and research; agencies more often fill roles from applicants and public pools.

Do search firms only fill C-suite roles?

No. They handle leadership, specialist, and confidential mandates where the right person is scarce and won't be found by posting. The Quantum Club places leadership, creative, and operational talent.

What does a company need to provide?

A clear brief on the role, the context, and what success looks like, plus the employment terms and a salary indication, which The Quantum Club's terms ask partners to provide in good time, and prompt feedback on each candidate. From there the firm runs the search; at The Quantum Club a strategist scopes it with you within 24 hours, in confidence.

Who does an executive search firm work for?

The company that engages it: the client sets the brief, makes the decision and pays the fee, and a legitimate firm never charges the candidate. Good firms still owe candidates real duties, above all keeping their interest confidential, which the AESC treats as a core commitment of the profession. The Quantum Club is built to serve both sides: companies hire through it, and members, who never pay, have a Talent Concierge for the length of every role process.

Can a search firm guarantee that a role will be filled?

No, and a firm that promises it is promising something outside its control. The Quantum Club's general terms describe an obligation of effort, not of result: the club commits to doing everything it can to present suitable people, not to a guaranteed hire. What a firm can stand behind is the placement. At the club that is a guarantee laid down in your agreement, honoured as a free replacement search or a credit against the next placement, never as a cash refund.
